Information for Presenters
Thank you for speaking at ASBPA’s National Coastal Conference Anchors Aweigh: Revolutionary Times for Coastal Habitats. We are excited to share your work with attendees! To ensure another great conference experience, we would like to share some updates and important dates. Also, if your plans have changed and you will not be able to join us, please let managing@asbpa.org know as soon as possible.
Presentations
Each room will have a laptop, screen, projector and podium with microphone. Oral presentations will be a total of 20 minutes. We urge you to present for 15 minutes and allow 5 minutes for questions. We consistently receive feedback that a robust Q&A discussion following presentations is meaningful to both the presenter and attendee. Time limits will be strictly enforced so that the numerous concurrent sessions stay on schedule. We will have a moderator and student volunteer helping to keep time and address any technical issues that arise.
As a live presenter you will be expected to share your presentation with staff by 5pm ET the day before your presentation at the latest. Your presentation will be loaded on the laptop in your session room, and you are responsible for running your presentation with a slide advance remote or laptop keys. The slide advancer will be provided.
Presentation slides should be sent to asbpatech@gmail.com ahead of the conference, uploaded in the speaker google folder or dropped off at the Tech Desk at conference registration (located in the Narragansett Prefunction Foyer on the 1stFloor) prior to 5pm ET the day before your presentation. Presentations should be in PowerPoint or PDF format. If you have any questions, please contact annie.mercer@asbpa.org or managing@asbpa.org.
Poster Session
The poster session will be held on Wednesday, October 11, from 6-8 p.m. concurrent with the evening welcome reception. When you check in, you will be given a nametag; and inside will be your poster board location assignment. As in previous years, posters are grouped by topic area, similar to the concurrent session tracks for oral presentations. Please find your assigned poster board space after Wednesday midday for display. ASBPA will provide a 3’ x 4’ (horizontal) space on the poster board and some supplies to display your poster. Please ensure your poster is in place before the start of the poster session at 6 pm.
You will need to take your poster with you after the session. Poster display boards will be removed Thursday morning and any unclaimed posters will be thrown away. Please note, there are no poster printing facilities on-site. You will need to bring your poster with you.
Online Poster Materials
You should have received a link to upload your poster materials to Whova before the conference. This allows you to engage with attendees before, during and after the poster session. You can upload and edit your submission multiple times. The following items are requested: a PDF of the poster, a PNG or JPEG of the poster, and a 2-5 minute MP4 formatted video walking through your poster. If you need your poster link sent again please reach out to annie.mercer@asbpa.org.
Lightning Talks
Lightning talk slides are due ASAP. Lightning talks must use the provided template (Lightning Talk Slides). Please share your presentation to annie.mercer@asbpa.org. Lightning Talks will take place Thursday in session 5G.
Poster presenters have the option to present a 2-minute lightning talk summarizing the highlights of their research. The intent of the lightning talks is to quickly summarize, in 2 minutes and 4 slides only, the information presented in your poster. The first and last slides in the provided template are required content but the two general information slides in the middle can be formatted however you would like.
The lightning talks will take place in a special session at the conference. Staff will combine all the slides into one deck for the entire session. Presenters can control their presentations from the laptop in the room. We will introduce you and you will present your slides, then respond to any questions.
